The Right Way to Share a Calendar QR Code at Your Event

Every event is a recruitment opportunity. The people in the room are already interested in what you do — if they showed up, they want to know about future events. A well-placed QR code can convert a first-time attendee into a permanent subscriber in about 10 seconds.

Most groups put a QR code on a flyer and call it a day. That works, but only a little. Here's how to make your calendar QR code actually drive subscriptions — and where most groups leave conversions on the table.

What the QR Code Should Do

This is where a lot of groups get it wrong. A calendar QR code shouldn't link to your website's events page, your Facebook events, or a PDF calendar. It should trigger a direct calendar subscription — meaning when someone scans it, their phone asks "Do you want to subscribe to [Your Calendar]?"

Where to Place Your QR Code

Placement matters more than design. Here's where QR codes convert best:

Table tents at the event

A small folded card on every table — or one per table at a seated event — gives people something to look at during downtime. Make it simple: the QR code, your calendar name, and one line: "Scan to get all our events in your phone."

Near the exit

People are most receptive right after a good experience. A sign near the door or a handout at the exit — when they're leaving happy — converts extremely well. "Enjoyed tonight? Subscribe to our calendar so you never miss one."

On your printed programs or bulletins

If you already print something people take home, put the QR code on it. They might not scan it at the event but they could scan it later. Include a short URL as backup for people who don't want to scan.

On signage in your regular meeting space

Then wait. Give people a full 30 seconds to do it. You'll see a room of people pulling out their phones, and many of them will scan it right there.
